This is a Wedding Timeline Example

As the month and day starts to draw near it will become time to put a wedding schedule and wedding timeline together for your special day. Each bride and groom has their own list of meaningful events they would like to include in their wedding. It may be a small thing such as ‘saying grace’ before dinner is served or a ‘thank you speech done by the groom or best man’ at the wedding.

A rough draft of your wedding timeline should be put together by the bride and groom and then sent to your ‘Wedding Coordinator’ or Wedding Planner. They will then look over it and make a few adjustments and email it back over to you for approval. Once the Wedding Timeline is set this is then given to the following people :

Your Wedding Officiant/Pastor, Groomsmen and Bridesmaids, the Photographer, Wedding Coordinator or Wedding Planner, your Wedding Catering Team, the Wedding DJ, and the Master of Ceremonies and immediate family members. This will help everyone be on the same page on your special day and most importantly -ask you less questions to reduce any stress!

Here is an example, kindly copy and paste it. Make any changes, add preferences and email it to info@greenockmanor.com

FRIDAY

3h30pm : Please text Greenock to let us know your ETA once you’re on the road

4pm : Arrive! Bride and Groom to park on your VIP Parking spot under the hanging lantern

4h15 Groom to hand Greenock Staff or Management the envelope with your damage deposit, printed copy of your ABC License and Marriage License for your Officiant. Bride and Groom to do a quick walk through with your Greenock Wedding Co-Ordinator to make sure all is good.

4h30 Groomsmen to unpack alcohol onto the bar area. Bridesmaids to unpack wedding decor into Chandelier room. The Bride to hang up her wedding dress in the Bridal suite.

5pm : Wedding Ceremony Rehearsal! All meet at the piano in the main Manor House. Please have the order of who walks with who saved to your phone.

6pm : Rehearsal Dinner (please state which location/restaurant)

9h30pm : Return to Greenock. Set up of some wedding decor. Seating plan final adjustment if needed etc

10pm : Cleanup all areas in and around after the rehearsal/chandelier room. Pack empty decor boxes into the Library opposite the piano.

SATURDAY

8am : Breakfast downstairs in the chandelier room (to be self catered OR catered – please state who is responsible for this) Please no food upstairs in the bedrooms.

9am-11am : Bridal Party to finish up final decor, table cloths onto the reception tables, bar and appetizer table on the front porch (next to the front door don’t forget it)

10am Hair and Makeup for the Bridal Party upstairs in the Bridal/Honeymoon suite

Tell your Makeup crew to head inside and straight upstairs as we have no Butler 😉

11am Florist delivers Flowers and sets up any floral decor

12noon ALL guests staying overnight at Greenock to meet Greenock staff at the piano with their car keys to move their cars to allocated parking spot (Very important)

12h30noon Groomsmen to do an ice run to the local gas station and start chilling drinks in the bar area.

12h30noon Light lunch snacks for the Bridal Party (self catered, delivered to Chandelier room please state name of person arranging/responsible for this)

1h15pm Matron of Honor to clear up lunch snacks and pack left overs into the fridge shed.

1h45pm Photographer arrives, parks on specific allocated parking spot and does a grounds tour and brief with the wedding coordinator.

2pm Catering team arrives, DJ arrives and sets up for the wedding (Text 703 687 7641 on arrival and park on your specific allocated spots)

2pm Photographer does details shots for memories (rings, bouquet, wedding invitation etc)

2h20 Photographer shoots ‘staged’ getting ready pics with the Bride and Bridesmaids

2h40 Photographer shoots Groom and Groomsmen in the living room by fireplace or outside on grounds

3h15pm Photographer shoots first look with Bride and (Father or Grandparents) upstairs in the Bridal suite

3pm Bridesmaids clean up ALL personal items and trash from the honeymoon suite and makes sure its 100% only the brides items in the room. PACK up EVERYTHING ELSE 100% clean.

3h15pm Caterer to set up non-alcoholic beverages ready to serve to guests arriving

3h30pm Caterer to serve beverages to guests arriving.

3h30pm DJ to play background music for guests to arrive

3h45 All bridal party line up downstairs in Manor House in order ready to go! (Got your boutonnieres and bouquets?) DJ to announce all guests to take their seats at the wedding ceremony site. Photographer to be positioned at Ceremony site.

4pm Wedding Ceremony

4h15 Wedding Cake is delivered to the chandelier room and decorated with cake stand, cutters and cake topper. Cake plates & forks set out etc. (Cake delivery person to text 703 6877641 when they are 30minutes away and again on arrival)

4h30 DJ to announce the family and bridal party will now go for photos. Guests are invited to the balcony for appetizers and beverages.

5h15 Bride and Groom escape to Honeymoon suite for a restroom break/makeup touch up/quick break (Caterer to have appetizer and a drink each waiting for them upstairs) 

Photographer to text 703 687 7641 and let us know photos are done (please don’t forget)

5h30 DJ announces: Guests to all be seated in the Wedding Reception area

5h45pm Bride and Groom only? (or full Bridal party? Please confirm?) are welcomed to the Wedding Reception (type up list of names in order to be called, make sure your DJ has this list)

5h50 Grace / Prayer (Please mention the name of the person doing this)

6pm DJ announces : Dinner is served (Bride and Groom will be served first, followed by parents and grandparents and then the guests)

6h30 Thank you Speeches and Toasts (will this be with champagne so the bar tender knows to offer and top up glasses in advance?) Type the list of names here of who is saying speeches?

6h40 DJ to announce anyone wanting seconds to head to the buffet or forever hold their peace!

6h50 Golden hour (this is an estimated time and up to the photographer to check lighting)

7pm DJ to announce : First Dance, Father Daughter Dance, Mother Son dance.

7h15 Dance floor is opened!

8pm DJ announces : Cutting of the Wedding Cake will be in the Chandelier Room

8h30 DJ announces : Throwing of the Wedding Bouquet and Throwing of the Garter (delete if you are not doing this please!) 

9h30pm DJ to announce last round at the bar

9h50 DJ to play last song

9h55pm DJ to announce : We will now be doing a Sparkler ‘Guests Send-Off’ on front grass. Kindly take all your personal belongings and head to the front grass for a Farewell with Sparklers. Thank you all for coming and please drive home safely. Good night all!

10h10pm Photographer leaves (Chanel needs to know when they are booked to leave)

10h30 (all guests depart from venue except those staying over night to prevent additional venue hire charged)

10 -11pm Full clean up of the wedding venue, packing up of all decorations, cleanup of the bar area, full trash removal

SUNDAY MORNING

8am Wake up everyone that stayed overnight at Greenock!

8h45am Clear all trash from the bedrooms and dispose into a trash can. Remove all used towels from the bedrooms/bathrooms from Manor House, Cottage and Loft Apartment and place them in the chandelier room

9am Pack cars and check the grounds and balcony areas for any trash or decor that may have been missed from the previous night. Pack left over alcohol into cars.

Obviously no Wedding Timeline is set in stone – it may fluctuate naturally a little here or there. It is hence the job of your wedding planner or on the day coordinator to adjust the timeline accordingly and liaise these changes with all the vendors throughout your wedding. Please copy and paste this timeline and adjust it according to your own preferences and times and send it by email to us to look over and tweak if necessary.
