This is an Example of a Wedding Timeline
As the month and day starts to draw near it will become time to put a wedding schedule and wedding timeline together for your special day. Each bride and groom has their own list of meaningful events they would like to include in their wedding. It may be a small thing such as ‘saying grace’ before dinner is served or a ‘thank you speech done by the groom or best man’ at the wedding.
A rough draft of your wedding timeline should be put together by the bride and groom and then sent to your ‘On the Day Coordinator’ or Wedding Planner. They will then look over it and make a few adjustments and email it back over to you for approval. Once the Wedding Timeline is set this is then given to the following people :
Your Wedding Officiant, Best Man and Bridesmaid, the Photographer, the On the Day Wedding Coordinator or Wedding Planner, your Wedding Catering Team, the Wedding DJ or Band, and the Master of Ceremonies.
Here is an example, kindly copy and paste it and make any changes, preferences etc.
FRIDAY
4pm : Arrive and unpack
5pm : Wedding Ceremony Rehearsal
6pm : Rehearsal Dinner (state which location/restaurant)
8h30pm : Final touches of decor / Seating plan final adjustment etc
9h30pm : Cleanup all areas in and around after the rehearsal
SATURDAY
8am : Breakfast (to be self catered, catered or delivered)
9am : Final touches of decor for wedding
10h30am Hair and Makeup for the Bridal Party
11am Photographer arrives for grounds tour with Co-ordinator
11.30am Photographer shoots Bride and Bridesmaids
12noon Cake is delivered and decorated. Cake plates set out etc.
12h30 Photographer shoots First Look with Bride and (Father or Grandparents)
1pm Light lunch snacks for the Bridal Party (self catered, delivered etc)
1h30pm Photographer shoots Groom and Groomsmen
2pm Bridal party cleans up ALL personal items and trash from the honeymoon suite and makes sure its 100% only the brides items in the room. PACK up EVERYTHING ELSE 100% clean.
2pm Caterer, DJ, Florist and all vendors arrive on site for set up
3h30pm DJ to play background music for guests to arrive
3h50 All bridal party line up in order ready to go!
4pm Wedding Ceremony
4h45 Photographer Hour and Cocktail Hour
5h45 Guests are seated in the Wedding Reception area
6pm Bride and Groom (or full Bridal party) are welcomed to the Wedding Reception (type up list of names in order to be called in advance)
6h15 Thank you speeches are said
6h30 Grace / Prayer
6h45 Dinner is served
7h45 First Dance, Father Daughter Dance, Mother Son dance
8pm Dance floor is opened!
8h30 Throwing of the Bouquet, Throwing of the Garter
9pm Cutting of the Wedding Cake
9h30pm DJ to announce last round at the bar (and location for after party)
10pm Sparkler Send Off (this takes at least 30min)
10h45 (all guests depart from venue except those staying over night)
11pm Full clean up of the wedding venue, packing up of all decorations, cleanup of the bar area, full trash removal
Obviously no Wedding Timeline is set in stone – it may fluctuate naturally a little here or there. It is hence the job of your wedding planner or on the day coordinator to adjust the timeline accordingly and liaise these changes with all the vendors throughout your wedding.
